Links, lookups and rollups

Links connect your tables: each task to its project, each order to its customer. Lookups and rollups read across them.

Link records

  1. 1Add a field of type Link to records, and pick the table it links to.
  2. 2Choose how records link: one to one, many to one, one to many or many to many. Each choice is told with your tables’ names and an example.
  3. 3Pick records in the field by their first field, or by any name a formula gives them.

Link from the side that picks one: each task chooses its project, and the project lists its tasks.

Lookups

A lookup shows a field of the linked records: the customer’s phone on an order, the project’s deadline on a task.

Rollups

A rollup adds up the linked records: how many tasks a project has, the total of a customer’s orders, a student’s average grade. It reads the other way too, from the records that link to this one.

Limit what can be picked

A link can offer only the records one of its table’s views shows, or those its own filters keep: only active customers, only free rooms. Records picked before stay picked.

See it whole

Collections’ Diagram draws each table as a card of its fields, with a curve for each link, so you see how your base is built.
